Student Results Workflow: Reviewable Grade Changes and Auditability
An exam result is more than a numeric score. A school may need to know who entered it, which marking scheme applied, whether it was moderated, when it was released, and why it changed afterward. The exact approval and disclosure rules depend on institution policy and local requirements; confirm them with academic leadership before building the workflow.
Define states before screens
Start with a state diagram, for example draft, submitted, reviewed, approved, published, and amended. Decide who can perform each transition and which evidence is required. A teacher may edit a draft but not a published result. A reviewer should see the submitted value and any comments without accidentally becoming the original author of the mark.
Store the assessment definition and its version: subject, term, maximum marks, grade boundaries, weighting, and any special accommodations. If boundaries change, decide whether historical reports are recalculated. Avoid storing only a letter grade when the underlying score and grading policy are needed to explain it.
Record corrections, not just current values
An audit event should include student, assessment, old value, new value, reason, actor, timestamp, and approval if required. Keep the published record stable until an amendment is authorized. Show the corrected value to permitted users along with a revision indicator, and preserve the prior value for an authorized audit. Never rely on an application log that is routinely rotated as the only correction record.
Use a transaction for a grade change and its audit event. Guard against simultaneous edits with an optimistic version or equivalent conflict check, so the second editor does not unknowingly overwrite the first. Test invalid scores, missing assessments, duplicate submission, withdrawn students, and result embargo dates.
Protect privacy and release timing
Teachers should access only assigned classes or assessments. Students and guardians should see only authorized results after release. Bulk exports and notifications require the same checks as the detail page. Before sending a notification, verify that the result is still published and the recipient mapping is current. Record delivery failures without exposing grades in a queue log.
Auditability should help resolve ordinary mistakes without making correction impossible. Pair a clear amendment route with strict permissions and a readable history. See our web development service for custom workflow systems.
